1. Purpose
WE FOR YOU WORLD LTD is committed to providing a safe and healthy environment for all participants, staff, volunteers, contractors, and visitors. This policy sets out how the organisation:
- Manages health and safety risks associated with its activities
- Meets its legal duties under UK health and safety legislation
- Promotes a culture of safety, responsibility, and risk awareness
- Ensures clear roles, responsibilities, and procedures
This policy supports safe, ethical, and safeguarding-led practice and applies to all organisational activities.

4. Health and safety principles
WE FOR YOU WORLD LTD is committed to:
- Preventing injury, ill health, and harm where reasonably practicable
- Identifying and managing foreseeable risks
- Providing safe environments and activities
- Ensuring clear communication of safety responsibilities
- Reviewing and improving safety practices continuously
5. Roles and responsibilities
Director
- Holds overall responsibility for health and safety
- Ensures appropriate policies, procedures, and insurance are in place
- Ensures risk assessments are completed and reviewed
- Investigates serious incidents and ensures corrective action
Event / Operations Lead
- Implements health and safety arrangements for activities and events
- Ensures event-specific risk assessments are completed
- Communicates safety information to staff, volunteers, and participants
- Acts on hazards, incidents, or near misses
Staff and volunteers
- Take reasonable care for their own safety and that of others
- Follow health and safety instructions and procedures
- Report hazards, incidents, or near misses immediately
- Do not undertake tasks beyond their training or competence
6. Risk assessment
- All activities must be subject to appropriate risk assessment
- Event-specific risk assessments must be completed in advance
- Risks relating to physical safety, emotional wellbeing, safeguarding, lone working, and accessibility must be considered
Risk assessments are managed in line with the Event Risk Assessment Procedure.
7. Safe environments and activities
WE FOR YOU WORLD LTD will:
- Use venues that are suitable and safe for planned activities
- Consider access, fire safety, first aid, and emergency arrangements
- Ensure equipment used is safe and appropriate
- Avoid activities that present unmanaged or excessive risk
Participants are informed of any relevant safety information before and during activities.
8. First aid and medical emergencies
- First aid arrangements will be proportionate to the activity and risk level
- Emergency contact details must be available where required
- In a medical emergency, emergency services must be contacted immediately
- Staff and volunteers must act within their training
- Incidents must be recorded and reported
This policy operates alongside the Crisis & Emergency Response Plan.
9. Incident and near-miss reporting
- All accidents, incidents, and near misses must be reported promptly
- An Incident Report must be completed in line with the Incident Reporting Procedure
- Serious incidents may require notification to insurers or authorities
Learning from incidents is used to improve safety practices.
10. Lone working
Where lone working is identified:
- Risks must be assessed
- Appropriate controls implemented
- Clear escalation and communication arrangements put in place
Lone working arrangements must prioritise safety and safeguarding.
11. Mental health and wellbeing boundaries
WE FOR YOU WORLD LTD provides non-clinical wellbeing support and does not provide medical, therapeutic, or crisis intervention services. Health and safety considerations include:
- Emotional wellbeing risks
- Clear boundaries of support
- Appropriate signposting and escalation
This policy aligns with the Mental Health Disclaimer and Service Scope & Boundaries Policy.
12. Training and awareness
Staff and volunteers receive:
- Health and safety awareness appropriate to their role
- Guidance on emergency procedures
- Information on reporting hazards and incidents
Additional training is provided where activities present increased risk.
13. Monitoring and review
- Health and safety arrangements are monitored regularly
- Risk assessments are reviewed annually, when activities change, and after incidents or near misses
- This policy is reviewed annually
